How to add engraving options to WooCommerce products

How to let customers add engraving text, fonts and notes to WooCommerce products, carry every choice through to the order, and avoid costly mistakes.

The short answer

WooCommerce doesn’t offer engraving options out of the box. You add them with a product add-ons plugin or a small custom plugin. Either way, the shop has to collect the text and choices on the product page, show them in the cart, and carry them through to the order and its emails, so you engrave exactly what was asked for.

A plugin is enough for plain engraving text and a choice of fonts. A custom build is worth paying for when you need a live preview, different rules per product, checks before checkout or a route for custom requests. Both are compared below, and an online shop built around personalised products covers the custom route.

What to collect on the product page

Ask only for what you need to make the piece, and nothing more:

  • The engraving text, with a limit on lines and characters that fits the space on the product
  • A font, from a short list that works on that material
  • The position, if there is a choice, such as front or back
  • Notes, for anything the fields don’t cover
  • A confirmation, such as a tick box saying “I have checked the spelling”

Every extra field is another chance for a customer to give up, so keep optional fields optional.

Carry every choice through to the order

An engraving option is only useful if the details reach the person making the piece. Check that the text, font and position appear in:

  • The cart and checkout, so the customer can check them once more
  • The order confirmation email, so they have a record
  • The order screen in your WordPress dashboard
  • Any packing slip or work sheet you print

In WooCommerce, these details are saved with each item in the order. That also means two of the same product with different engravings stay separate, as they should.

Option 1: an add-ons plugin

A product add-ons plugin lets you add text fields, drop-downs and tick boxes to products from the dashboard, with no code.

It suits shops with simple needs: one text field, a few fonts, perhaps a fee. The limits show up when you want a live preview, different rules for different products, or fonts that change with the material.

Option 2: a custom plugin

A small custom plugin is built around your products. It makes sense when you need:

  • A live preview of the text on the product photo
  • Different rules per product, such as two lines on a pen and four on a chopping board
  • Fonts and characters that depend on the material
  • Checks before checkout, such as blocking characters a font can’t engrave
  • A custom request route for pieces that don’t fit the standard options

Because it only does what your shop needs, it also stays light, which keeps product pages fast.

Avoid the mistakes that cost you

Personalised items usually can’t be resold, so a typo is expensive. A few details prevent most problems:

  • Limit characters to what fits, and count spaces
  • Check accents and symbols. Some engraving fonts don’t include letters such as é, ç or ß, so test the ones your customers use
  • Show a summary before payment, with the exact text in the chosen font
  • Ask customers to confirm the spelling, and keep that confirmation with the order

Personalised items and returns

In the UK and the EU, goods made to the customer’s specifications or clearly personalised are usually exempt from the 14-day right to cancel that applies to most online orders. Faulty items are still covered.

Rules differ by country, so check what applies to your shop. Then say it plainly on the product page and in your terms, before the customer pays.

Custom requests

Some pieces are too individual for product options, such as a logo, a drawing or a large order. A custom request form can collect the details and files, give each request a status, and email the customer as it moves along, so bespoke work doesn’t get lost in your inbox.

How Crashielab can help

The Engraved Wood & Glass Shop case study shows this in practice: a custom WordPress theme with a WooCommerce plugin that carries engraving text, font choices and notes through to the order, plus a custom request workflow with protected file uploads, status tracking and customer emails.

If you sell personalised products, an online shop can be built around them from the start.

Questions

Can WooCommerce do engraving options without a plugin?
Not on its own. WooCommerce’s built-in attributes and variations cover fixed choices such as size or colour, but free text like an engraving needs an add-ons plugin or a small custom plugin.
Can customers see a preview of their engraving?
Yes, with a custom build. The text and font can be drawn over the product photo as the customer types. Label it as a guide, because the real result depends on the material.
Can I charge extra for engraving?
Yes. You can add a fixed fee per item, a fee per line or character, or include engraving in the price. Show the fee next to the option so the total never surprises anyone.
Can customers return personalised products?
In the UK and the EU, goods made to the customer’s specifications or clearly personalised are usually exempt from the 14-day right to cancel online orders. Rules differ by country, so check what applies to you and say it clearly on the product page.
